No-show policy for personal trainers and coaches (4 templates)

If you train or coach clients one-on-one, your income is your calendar. A client who skips a 6 a.m. session or cancels a coaching call an hour before has taken a slot someone else wanted, and you rarely get it back. A written no-show policy turns that from a judgment call into a rule both sides agreed to. Below are four versions for trainers and coaches. Change the numbers in brackets and share it before the first session.

The short version: Ask for 24 hours' notice to cancel or reschedule. Count a late cancellation or no-show as a used session in a pack, or charge the full session fee. For coaching programs, allow a set number of reschedules. Put it in writing before the first session.

What every trainer or coaching no-show policy needs

  • Notice window: how far ahead a client can cancel or reschedule for free. 24 hours is standard; 12 hours is common for early-morning training slots.
  • What a no-show costs: a session credit, a fee, or a kept deposit.
  • Late arrivals: whether the session still ends on time.
  • Packs and programs: what happens to unused sessions, and when they expire.
  • Repeat no-shows: what changes after the second or third one.
  • Exceptions: illness, emergencies, and for outdoor sessions, the weather.

Template 1: Personal trainer, pay per session

Best for clients who pay session by session.

Cancellation policy

Please give at least [24] hours' notice to cancel or reschedule a session. Sessions cancelled with less than [24] hours' notice, or missed without notice, are charged in full. I'll waive this once if a genuine emergency comes up.

Template 2: Session packs

Best for trainers who sell blocks of sessions. A missed session simply uses a credit, so there's nothing to chase.

Session pack policy

Packs of [10] sessions are paid in advance and valid for [12 weeks]. Sessions cancelled at least [24] hours ahead are not deducted. Late cancellations and missed sessions count as used. Unused sessions expire at the end of the pack and can't be refunded.

Template 3: Coaching program

Best for life, business, career or health coaches selling a set number of calls over a fixed period.

Rescheduling policy

Your program includes [6] sessions over [3 months]. You can reschedule up to [two] sessions with at least [24] hours' notice. Sessions cancelled with less notice, or missed, count as completed. If you join a call more than [15] minutes late, we'll use the time remaining and the session still ends on time.

Template 4: Card on file

Best for regular clients you'd rather not ask to prepay.

Cancellation policy

A card is required to book but won't be charged unless you cancel late or miss a session. Cancellations with less than [24] hours' notice are charged [50%] of the session fee, and missed sessions are charged in full. By booking, you agree to these terms.

Add-on clauses

Add any of these below the template you chose.

Late arrivals

Add to your policy

If you arrive late, the session will still end at the scheduled time so the next client isn't kept waiting. If you haven't arrived or messaged within [15] minutes of the start time, the session counts as missed.

Outdoor sessions and weather

Add to your policy

If weather makes an outdoor session unsafe, I'll let you know at least [2] hours before and we'll move indoors, switch to a virtual session, or reschedule at no cost.

Virtual sessions

Add to your policy

For video sessions, please join from a quiet space with a working camera and connection. If a technical problem on my side cuts a session short, I'll make up the time. Problems on your side don't change the session time.

Repeat no-shows

Add to your policy

After [two] late cancellations or no-shows in a [month], future sessions must be paid in advance, and I may give priority slots to other clients.

Sharing your policy

  1. Before the first session: include it in your welcome message or onboarding form, with a checkbox or a reply to confirm.
  2. On your booking page, next to the Book button.
  3. When selling a pack or program: put the expiry and reschedule rules on the checkout page or invoice.
  4. In reminders: one line such as “Need to move this? Please let me know 24 hours before.”

Enforcing it without losing clients

  • Apply it from day one. Clients who see the rule enforced early rarely test it again. Use your one-time emergency waiver for real emergencies.
  • Sell packs, not single sessions. A missed session that uses a credit causes no friction at all, and packs improve attendance because clients have already paid.
  • Reschedule before you charge. Offering another slot the same week often keeps the session and the client's progress, and you still get paid.

Frequently asked questions

What is a typical personal trainer cancellation policy?

Most trainers ask for 24 hours' notice and charge the full session, or deduct a session from the client's pack, for late cancellations and no-shows. Some use 12 hours for early-morning slots.

Should a no-show use up a session from a pack?

Yes, that's the most common approach. It's simple, needs no extra payment, and clients accept it because the rule was clear when they bought the pack.

How should coaches handle rescheduling?

Many coaches allow a fixed number of reschedules per program, such as two, with 24 hours' notice. Beyond that, a missed or late-cancelled call counts as completed.

What if a session is cancelled because of the weather?

If you cancel or move an outdoor session for safety, don't charge the client. Offer an indoor or virtual session or a free reschedule instead.

Do session packs need an expiry date?

An expiry date keeps clients training regularly and stops old credits piling up. Tell clients the expiry when they buy, and check any local rules on prepaid services.
