Tutoring cancellation policy (4 templates for private tutors)

As a private tutor, your week is built around fixed slots, often the same after-school hours that every family wants. A last-minute cancellation leaves a gap you almost never fill, and if it happens every few weeks it adds up to a real pay cut. A written cancellation policy fixes most of this: parents plan around it, and you stop having awkward conversations about money. Below are four versions you can copy. Change the numbers in brackets and share it before the first lesson.

The short version: Ask for 24 hours' notice to cancel or reschedule. Charge the full lesson for no-shows and late cancellations, or count them as a used lesson in a prepaid package. Give parents the policy in writing before the first lesson.

What every tutoring cancellation policy needs

  • Notice window: how far ahead a family can cancel or reschedule for free. 24 hours is standard; some tutors use 48 hours for weekend or exam-season slots.
  • Late cancellation and no-show charge: many tutors charge the full lesson, since a 1-hour slot can't usually be refilled at short notice.
  • Who pays: the parent or guardian who booked, not the student.
  • How you collect: prepaid lessons, a deposit, or an invoice afterwards.
  • Late students: how long you'll wait, and whether the lesson ends on time anyway.
  • Your own cancellations: what you offer when you have to cancel.

Template 1: Flexible

Best when you're new or most families are long-term regulars.

Cancellation policy

Please let me know at least [24] hours in advance if you need to cancel or reschedule a lesson. Lessons cancelled with less than [24] hours' notice, or missed without notice, may be charged at [50%] of the lesson fee. I'll waive this once per [term] for genuine emergencies or illness.

Template 2: Firm

Best when late cancellations are a regular problem.

Cancellation policy

Lessons must be cancelled or rescheduled at least [24] hours in advance. Lessons cancelled within [24] hours, or missed without notice, are charged in full. After [two] late cancellations or missed lessons, future lessons must be paid in advance.

Template 3: Prepaid packages

Best for weekly students. Families buy a block of lessons, and the policy enforces itself.

Package policy

Lessons are paid in blocks of [8], in advance. A lesson cancelled at least [24] hours ahead can be rescheduled within [two weeks] at no cost. Lessons cancelled within [24] hours, or missed without notice, count as used. Unused lessons expire [12 weeks] after purchase.

Template 4: Deposit for new families

Best for first-time students, before trust is built. Use the deposit calculator to pick an amount.

Booking policy

New students pay a $[15] deposit to book their first lesson, which comes off the lesson fee. Cancel more than [24] hours before and it's refunded in full; cancellations within [24] hours and missed lessons forfeit the deposit.

Add-on clauses

Add any of these below the template you chose.

Late students

Add to your policy

If a student is late, the lesson will still end at the scheduled time and the full fee applies. If I haven't heard from you within [15] minutes of the start time, I'll treat the lesson as missed.

Online lessons

Add to your policy

For online lessons, please make sure the student has a working device, internet connection and the meeting link before the lesson starts. If a technical problem on my side cuts a lesson short, I'll make up the time. If the problem is on the student's side, the lesson counts as taught.

Illness

Add to your policy

If the student is unwell, please let me know as early as you can. If they're well enough, we can switch to an online lesson instead of cancelling.

When I cancel

Add to your policy

If I need to cancel, I'll give as much notice as possible and offer a make-up lesson or a full refund for that lesson, whichever you prefer.

The last clause matters more than it looks: parents accept a firm policy far more easily when it's clearly fair in both directions.

Sharing it with parents

  1. Before the first lesson: send the policy with your first confirmation, and ask the parent to reply “agreed” or tick a box on your booking form.
  2. On your booking page, next to the Book button.
  3. In reminders: add a line such as “Need to change? Please let me know 24 hours before.”
  4. At the start of each term, as a short reminder, especially if anything changed.

Enforcing it without souring the relationship

  • Charge the first time it applies. Waiving it once “just this time” teaches families the rule is optional. If you want to be generous, use the once-per-term waiver in Template 1.
  • Let prepayment do the work. With packages or a deposit, there's nothing to chase. See how to charge a no-show fee if you invoice afterwards.
  • Offer a swap instead of a cancellation. Moving to an online lesson or another slot that week keeps the lesson, the student's progress and your income.

Frequently asked questions

How much notice should a tutor require for cancellations?

24 hours is the most common and the easiest for families to remember. Some tutors ask for 48 hours during exam season or for weekend slots, when demand is highest.

Should tutors charge for late cancellations?

Most private tutors do, often the full lesson fee, because a slot cancelled at short notice can rarely be filled. A once-per-term waiver for emergencies keeps the policy fair.

What if a student is sick?

Many tutors offer to switch to an online lesson instead. If the student is too unwell for that, a no-fee illness exception with early notice is common and keeps parents honest.

Are prepaid lesson packages better than charging fees?

For weekly students, usually yes. A missed lesson simply counts as used, so there's no invoice to send and no money to chase.

What should happen if the tutor cancels?

Offer a make-up lesson or a refund for that lesson. Being fair when you cancel makes parents much more willing to accept your policy when they do.
