Terms of Service

Last updated

These terms are the agreement between SlotPaid (“SlotPaid,” “we”) and you. Sections 1–15 apply to providers — businesses and professionals who use SlotPaid to take bookings. If you're booking an appointment with a provider, the short client terms in section 16 are the ones that apply to you.

1. The agreement

By creating an account or using SlotPaid, you agree to these Terms, our Privacy Policy, our SMS Terms, and, where you use SlotPaid to handle your clients' personal data, our Data Processing Addendum, which forms part of these Terms. If you use SlotPaid on behalf of a business, you confirm you can bind that business, and “you” means the business.

2. Accounts

  • You must be at least 18 and use SlotPaid for business purposes.
  • Give accurate information and keep it up to date.
  • Keep your login secure. You're responsible for activity in your account, including by staff you invite. Tell us promptly at hello@slotpaid.com if you suspect unauthorized access.
  • Your booking-page address must not impersonate another person or business or infringe anyone's trademark. We may reclaim an address that does.

3. Plans and billing

  • Free plan: limited monthly bookings, with “Powered by SlotPaid” shown on your booking page.
  • Paid plans are billed monthly in advance, in US dollars, and renew automatically until you cancel. Current prices and limits are on our pricing page.
  • Our reseller: subscriptions are sold by Polar, our merchant of record. Polar processes your payment, charges any applicable sales tax or VAT, issues your invoices, and handles refunds, and its terms apply to the purchase. Your subscription gives you access to SlotPaid under these Terms.
  • Cancelling: you can cancel at any time from Settings → Billing. Your plan stays active until the end of the period you've paid for, then moves to the Free plan. We don't refund partial periods unless the law requires it.
  • Price changes: we'll give you at least 30 days' notice by email before a price increase affects you.
  • Failed payments: if a payment fails and isn't fixed after reminders, we may move your account to the Free plan.
  • Prices don't include taxes; you're responsible for any that apply.

4. Taking payments from your clients

You choose how clients pay you: at the appointment, through your own payment link (such as PayPal.me or a Stripe Payment Link), or with your own Stripe account, connected by a restricted API key. Payments go directly to your account with that provider, under your own agreement with them — for Stripe, the Stripe Services Agreement. These providers may change or end their services independently of us.

If you connect Stripe, we store your restricted key encrypted and use it only to create checkouts, refunds, and no-show charges for your SlotPaid bookings. You can disconnect or roll the key at any time.

  • You are the seller of your services. SlotPaid is not a party to the transaction between you and your client, isn't a payment processor, and doesn't hold your funds.
  • SlotPaid currently takes no commission on payments you collect. Stripe's fees apply.
  • You're responsible for your prices, refunds, disputes, chargebacks, receipts, and taxes on the payments you receive.

5. Cancellation policies and no-show fees

SlotPaid lets you set a cancellation window, keep some or all of a deposit for late cancellations, and charge a client's saved card or send a payment link when a client doesn't show up. When you use these features, you agree that:

  • your policy is clear, reasonable, and shown to clients before they book — SlotPaid displays it on your booking page and at checkout;
  • you only charge a no-show or late-cancellation fee that matches the policy the client saw when they booked, and only when they actually missed or late-cancelled the appointment;
  • your policy and fees comply with the consumer protection laws that apply to you.

You're responsible for handling disputes over these charges with your clients.

6. Your clients and their data

You control your client data. We process it on your behalf under the Data Processing Addendum. You're responsible for:

  • having a lawful basis to collect and use your clients' data, and giving them any notice the law requires;
  • not collecting data you don't need. In particular, don't use booking questions or notes to collect health or medical information, government ID numbers, payment card numbers, or other sensitive data unless the law allows it and you've obtained any required consent;
  • if you serve minors, having a parent or guardian book on their behalf and obtaining any consent the law requires;
  • responding to your clients' privacy requests (we'll help).

SlotPaid is not designed to store protected health information and is not HIPAA compliant. If you are a HIPAA covered entity or business associate, don't use SlotPaid to store or send protected health information.

7. Reminders and messages sent on your behalf

SlotPaid sends confirmations, reminders, and other appointment messages to your clients by email and text message on your behalf, under your business name. You agree that:

  • you'll only enter phone numbers and emails for clients who have agreed to receive these messages;
  • messages you configure will relate to your clients' appointments and relationship with you, not unsolicited marketing;
  • you'll honor opt-outs. SlotPaid stops texting a number that replies STOP; don't re-add it to get around that.

You're responsible for the content of messages you write and for complying with anti-spam and telemarketing laws (such as the TCPA and CAN-SPAM) as they apply to you. See our SMS Terms.

8. Acceptable use

Don't use SlotPaid to:

  • offer illegal services, or services that require a license you don't hold;
  • harass, deceive, or defraud anyone, or send spam;
  • upload content that is unlawful, infringing, sexually explicit, or hateful;
  • probe, scan, overload, or break SlotPaid's security; access another account's data; or scrape or reverse engineer the service except as the law allows;
  • resell SlotPaid or build a competing product using it.

9. Your content and our service

You keep ownership of everything you and your clients put into SlotPaid. You give us permission to host, copy, display, and transmit it only as needed to run and improve the service for you — for example, showing your logo on your booking page. SlotPaid itself, including our software, design, and brand, belongs to us. If you send us feedback, we can use it without obligation to you.

10. Third-party services

SlotPaid connects to services such as Stripe, Google Calendar, and Microsoft Outlook. Your use of those services is governed by their own terms, and we're not responsible for them. If a third party changes or stops its service, the related SlotPaid feature may change or stop too.

11. Changes to SlotPaid

We're continually improving SlotPaid and may add, change, or remove features. If we remove a feature you pay for in a way that materially reduces the service, we'll tell you in advance, and you can cancel. Features labeled beta or “coming soon” are provided as they are and may change.

12. Suspension and termination

You can stop using SlotPaid and close your account at any time. We may suspend or close an account that breaches these Terms, creates legal risk, or goes unpaid; where reasonable we'll warn you first and give you a chance to fix the problem. After closure, you'll have 30 days to ask us to export your data, after which we delete it as described in the Privacy Policy. Sections that by their nature should survive termination (including 4–6 and 13–15) will.

13. Disclaimers and limitation of liability

We work hard to keep SlotPaid reliable, but it's provided “as is” and “as available.” To the extent the law allows, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We don't guarantee that reminders, calendar syncs, or payments will always be delivered or processed without delay or error, and we're not responsible for the services providers offer or for disputes between providers and clients.

To the extent the law allows, neither party is liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, or data, and SlotPaid's total liability for any claims under these Terms is limited to the greater of the amount you paid us in the 12 months before the claim and US$100. These limits don't apply where the law doesn't allow them to, including for fraud or for death or personal injury caused by negligence.

14. Indemnity

You'll defend and indemnify SlotPaid against third-party claims arising from your services, your content, your cancellation and fee policies, messages you send through SlotPaid, or your breach of these Terms or the law.

15. General

  • Governing law: these Terms are governed by the laws of the Kingdom of Morocco, and disputes will be resolved in the competent courts of Morocco, except where local consumer law gives you the right to bring a claim elsewhere.
  • Changes to these Terms: we'll give providers at least 14 days' notice by email of material changes. Continuing to use SlotPaid after they take effect means you accept them; if you don't, you can close your account.
  • Entire agreement: these Terms and the documents they reference are the whole agreement between us about SlotPaid. If a provision is unenforceable, the rest still applies. Not enforcing a provision isn't a waiver.
  • Assignment: you may not transfer these Terms without our consent; we may transfer them as part of a merger, acquisition, or sale of assets.
  • Events outside our control, such as outages at our providers, don't make either of us liable for delays they cause.

16. Terms for clients booking an appointment

If you book an appointment through a provider's SlotPaid page:

  • Your agreement for the appointment itself — the service, price, cancellation policy, and refunds — is with the provider, not SlotPaid. Questions about the appointment go to them.
  • Card on file: if the provider charges no-show fees and you pay a deposit or buy a package by card, your card is saved securely by Stripe on the provider's own Stripe account (you are told before paying). You authorize the provider to charge that card, without further approval, for a no-show or late-cancellation fee under the policy shown when you booked. You'll get an email receipt for any such charge.
  • You can reschedule or cancel from the link in your confirmation email, within the provider's policy.
  • If you give a phone number, you agree to receive appointment texts as described in our SMS Terms. Reply STOP to opt out.
  • If you're booking for someone under 18, you confirm you're their parent or guardian or have their parent or guardian's permission.
  • Section 8 (acceptable use), 13 (disclaimers), and 15 (general) also apply to you.

How your data is handled is explained in our Privacy Policy.
