Appointment reminder text templates (12 messages to copy)
Most no-shows aren't people deciding to skip. They forgot, or remembered too late to cancel in time. A short reminder fixes both: it brings the appointment back to mind, and it gives the client an easy moment to reschedule while you can still fill the slot. Below are 12 reminders you can copy, all short enough to fit in a single text.
The short version: Send two reminders, one 24 hours before and one about an hour before. Include the day, time, your name and how to reschedule. Add one line about your notice window so clients cancel early, not late.
When to send reminders
| Reminder | When | Why |
|---|---|---|
| First reminder | 24 hours before | Still enough notice to reschedule and refill the slot |
| Second reminder | 1 hour before | Catches people who forgot on the day |
| Early-morning sessions | The evening before, around 6–8pm | A 6am reminder arrives too late to help |
| New clients | Add the address or meeting link | First visits fail most often on logistics |

Tips for reminders that actually work
- Keep texts under 160 characters. Longer messages may split into two texts, or get cut off on some phones.
- Always include the day and time. “Tomorrow at 3pm” is clearer than a date alone.
- Make rescheduling easy. A link or “just reply” turns a likely no-show into a rescheduled booking you can refill.
- Mention your policy once, gently. One short line in the 24-hour reminder is enough; don't repeat it in every message.
- Sound like yourself. A reminder that reads like a person wrote it gets more replies than a robotic one.
Text reminders need consent
Only send text reminders to clients who've agreed to receive them, for example by entering their number when booking and ticking a box. Rules on business texting differ by country, so check what applies where you and your clients are, and always tell clients how to stop receiving texts.

Frequently asked questions
When should I send an appointment reminder?
Send one 24 hours before, so clients can still reschedule in time, and a second about an hour before. For early-morning sessions, send the first one the evening before instead.
What should an appointment reminder include?
The day and time, your name or business, the service, and how to reschedule. Optionally, a short line about your cancellation policy and anything the client should bring.
Text or email reminders?
Texts are read faster and more often, so they work best for the 1-hour reminder. Email suits the 24-hour reminder, where you can include the address, policy and links.
Do reminders really reduce no-shows?
They help most with clients who simply forget. They work best alongside a deposit and a clear cancellation policy, which handle the clients who don't forget but cancel late.
Can I send text reminders without permission?
You should only text clients who have agreed to receive messages, and tell them how to opt out. Rules differ by country, so check the ones that apply to you.
